The Rhythm Reset

There are a million project management tools out there, but which is the right one for you?

Every project with Rhythm & Reach begins with The Rhythm Reset—a 90-minute deep-dive interview that lets me understand your marketing team’s goals and how work currently flows through your team (or doesn’t). All the really juicy info in order for me to identify what’s working that needs to be amplified and what’s not working that needs extra support.

From there, you’ll receive a written Workflow Transformation Plan that reveals the best project management tools for your team and how to customize it to fit your exact needs. You can either implement the Workflow Transformation Plan on your own or we can work together to Build & Root your new system (Step 3).

    • A 90-minute working session with the 1–2 people who know your team’s processes best

    • A full review of your current workflows, tools, and documentation

    • Your written Workflow Transformation Plan

  • In one week, you’ll receive a custom Workflow Transformation Plan which includes:

    • An honest plus/delta assessment of what's working and what isn't

    • A visual workflow map showing how work moves through your team and where it stalls

    • A specific project management software recommendation based on your team's needs and budget*

    • A customization plan for your recommended tool

    • A recommended implementation timeline

    You can choose to implement the Plan on your own or hire me to do it for you.

The Rhythm Build & Root

After your Rhythm Reset, this phase turns insight into a working system. I’ll take the Workflow Transformation Plan we made and design, build, and implement workflows within your selected software tool that support your team’s output, timelines, and collaboration.

Your team will get thorough training on their new system and hands-on support to ensure lasting change.

    • Interviews with the members of your team to learn their specific needs and ways of working

    • Your project management software customized the way your team needs with project structures, templates, automations, and conventions

    • Team onboarding and launch support

    • All documentation of how your system is designed and SOPs for reference and future hires

    • On-call support for one month after launch

      • Need more help after one month? We can discuss retainer or one-time update options.

    • A project management tool integrated into the daily flow of your team (because it was built specifically for them)

    • A system that brings consistency without rigidity and supports growth over time

    • A team that feels confident about using their new tool thanks to thorough onboarding

    The cost of your Rhythm Reset will be deducted from these prices.

  • I’m happy to work with whatever system you already have in place if I think it is a good fit for your team’s needs.

    During the Rhythm Reset, I’ll assess your team’s needs and the tool(s) you currently have in place. Part of the problem may be that some team members aren’t using it because it lacks the capabilities they need to do their job efficiently.

    I may determine your current software will work with some structural adjustments and proper onboarding, or I may recommend a switch if I think a different tool will fit your team’s needs better.

  • I’m always happy to help make adjustments to your system. Every Rhythm Build & Root package includes one month of on-call support. Whether your team needs additional training or tweaks to the system during that time, I’m there.

    If you need support after one month, get in touch and we can discuss a one-time update fee or a monthly retainer.

  • If you choose to hire me to design and build your new PM system, I will always include thorough staff training, including recording the training for future new hires to watch while they are getting onboarded.

    I always start a Rhythm Build & Root by conducting interviews with the full team. Not only does this allow me to build systems that fit each person’s needs, but it gets them on board because they feel like part of team making this change happen for the better.

    Of course, people are people and change is hard. I cannot force anyone to do anything, and that includes using the system we build. But I can provide thorough training, resources, and support to ease them into the change and show them how to take small steps to adopt the new system.

  • No. I don’t have partnerships with any PM tools or software companies. I like to call myself “tool agnostic.” I have my favorites, but I always prioritize picking the right tool for the team based on their budget and complexity needs. I’ve set up systems in the more complicated tools for big teams, in a simple Excel spreadsheet for solo project management, and everywhere in between.
