Turning marketing chaos into operational clarity
Rhythm & Reach partners with in-house marketing teams to bring structure to how work actually gets done. I don’t start with tools or templates. I start by understanding your team—how they work and think—THEN I design systems that intuitively fit.
How we’ll work together
Most teams follow a simple path:
1.
A focused look at how work currently flows (or doesn’t) through your team. Together, we’ll diagnose what’s working, what’s not, and project management software recommendations that will make the biggest difference.
2.
Project Management Systems Design & Implementation
Together, we’ll turn insight into structure by designing and building workflows and systems in your chosen project management software that your team can actually use.
3.
Ongoing support to help your systems evolve as your team and priorities change.
Each phase builds on the last, but you’re never locked into more than you need.
Marketing Workflow Audit
If work feels harder than it should (missed handoffs, unclear ownership, tools no one fully trusts) this is where we begin.
The Workflow Audit is a collaborative deep dive into how work currently flows through your marketing team. Through conversations, mapping, and analysis, we clarify what’s working, what’s getting in the way, and where small changes could make a big difference.
Some teams use the audit as a standalone reset. Others move directly into design and implementation.
This is the recommended starting point for all new clients.
-
Review of current workflows, tools, and processes
In-depth interviews with key stakeholders and team members about their pain points, workflow wins, and natural ways of working
Identification of friction points, bottlenecks, and gaps
-
An in-depth document that lays out:
My honest, outside observer’s plus/delta list of what is working well and what isn’t
A visual flow chart that gives you and your team a shared understanding of how work currently flows (and where it stops flowing)
Clear, practical recommendations for next steps, including specific project management software recommendations based on your budget and your team’s needs
A recommended timeline and a quote for how I can get you to the finish line: your team working in their new system confidently and consistently
-
Starting at $2,500+ for a team of 10-15
Pricing varies based on number of team members. More team members = more interview time and a more complex system to dream up.
System Design & Implementation
Building on the audit (or an existing internal assessment), this phase turns insight into a working system. I’ll design and implement workflows within your selected software tool that support your team’s output, timelines, and collaboration.
-
A workflow and project management system designed and built for your team
Project structures, templates, automations, and conventions
Documentation and SOPs
Team onboarding and launch support
On-call support for one month after launch
-
A project management tool integrated into the daily flow of your team (because it was built specifically for them)
A system that brings consistency without rigidity and supports growth over time
A team that feels confident about using their new tool thanks to thorough onboarding
Recorded trainings for any future hires
-
Starting at $5,000 for teams of 10-15
Pricing varies based on number of team members, templates, automations, and onboarding sessions.
Marketing Operations Support
For teams that want continued guidance without a full-time hire.
Ongoing support provides a steady partner as your team evolves. This might include refining workflows, supporting new initiatives, or helping the system adapt as roles and priorities change.
This is best suited for teams that have completed an audit or implementation and want to maintain momentum.
-
Regular check-ins or advisory calls
Workflow refinements and adjustments
Support during busy seasons or transitions
A neutral, systems-focused perspective for leadership
-
Starting at $1,000/month
Pricing varies based on level of support needed.
What to Expect
Fit Call
A 15-30 minute call where you’ll tell me a bit about your workflow challenges, and I’ll tell you exactly how I can help. Think of it as a two-way vibe check that we’re a great fit.
Workflow Audit
I’ll get to work studying how your current tech stack is structured (or not) and conducting in-depth interviews of your team. The result: A thorough, honest document mapping what’s working and what’s not, along with recommended software solutions in your budget, and how I would customize them to fit your team’s needs.
Kick-off
Once a contract is signed, you and your key players will have an in-depth kick-off call with me. You’ll tell me about the structure of your team and we’ll make a gameplan for who/how I’ll interview them. We’ll also talk about your current tech stack and a budget range for a project management tool.
Frequently Asked Questions
-
I’m happy to work with whatever system you already have in place if I think it is a good fit for your team’s needs.
My work will still begin by interviewing your team members, including asking them how they like working with their current software. Part of the problem may be that some team members AREN’T using it because it lacks the capabilities they need to do their job.
I may determine your current software will work with some adjustments, or I may recommend a switch if I think a different tool will fit your team’s needs better.
-
I’m always happy to help make adjustments to your system. Every Workflow System Design & Implementation includes one month of on-call support. If you need support after one month, get in touch and we can discuss a monthly retainer or a one-time update fee.
-
If you choose to hire me to design and build your workflow system, I will always include staff training, including recording the training for future new hires to watch while they are getting onboarded.
Of course, people are people and change is hard. I cannot force them to do anything, and that includes using the system we built. But I can provide thorough training and resources to ease them into the change and show them how to take small steps to adopt the new system.
